Pencil-whipping and skipped procedures
Is a fast procedure always a skipped procedure?
No. An experienced technician may be quick, or a step may not apply that day. A flag is a reason to review and ask, not proof of wrongdoing.
What is pencil-whipping?
Marking a check or inspection as complete without actually doing it.
Who should review flagged procedures?
Whoever the customer assigns review and acceptance approval to. ICARUS Ops lets each customer define that role.
Aviation checklists and electrical crews
What is the difference between read-do and do-verify checklists?
In read-do, the user reads each step and then does it. In do-verify, the user does the work first, then uses the checklist to confirm nothing was missed.
Turnover records and commissioning
Can digital records be exported?
All data is uploaded to your ICARUS Ops portal. The system knows your company, so it shows your logo, your locations, your procedure completions, and your task assignments. Your leadership dashboard and your content are there, and all completed procedures, execution times, and reports are available online at all times. PDFs can be exported of all data captured. Any recorded data can be added to a spreadsheet for trending. All data collected can be compiled and built into customizable reports by the ICARUS Ops team.
How should turnover records be organized?
By system and equipment, so the operations team can find the history of any piece of equipment.
What should a turnover record include?
The procedure and version used, who did each step and when, all photos and data retained in the sequence they were collected, and QA sign-offs.
High-voltage construction
Does ICARUS Ops support commissioning?
Yes. Crews can run commissioning scripts (L1–L5) in the app and capture the results as they go, with time stamps, photos and QA sign-off at hold points.
How does ICARUS Ops help protect the schedule on data center projects?
ICARUS Ops is designed to catch skipped and out-of-order steps before they cause errors, rework, failed tests or outages. Each step is time-stamped, critical steps need proof, and HQ can review what was done after each sync.
What is energization?
Energization is the first time voltage is applied to newly installed or de-energized electrical equipment. It follows a written, approved procedure with hold points, because mistakes can cause arc flash, equipment damage or outages.
Data center operations
Can a MOP require a sign-off before work continues?
Yes. You can add QA sign-off gates at hold points. The technician cannot continue until the sign-off is recorded.
Can technicians run MOPs in electrical rooms with no signal?
Yes. The native Android and iOS apps work offline. Records sync to the cloud when the device reconnects.
How does ICARUS Ops help with skipped rounds?
Date-time curves show how fast each round was done. A round marked “complete” faster than is realistic is flagged for review in the ICARUS Ops web portal.
Procedure version control
How should field feedback be handled?
Route it to the author, review it, and release it as a new approved version, rather than marking up one copy.
Who should be able to edit a procedure?
Each company defines who has editing and approval authority in its ICARUS Ops EES workflow. Every change goes through review and approval.
Why does version control matter for energization procedures?
Because a crew working from an outdated version may skip a changed step or follow an old sequence. Version control keeps one approved version in use.
Offline procedures
How often should crews sync?
At least at the start and end of each shift, and whenever they are back in coverage after critical work.
What happens to photos taken offline?
In an offline-first app they are stored on the device with the step and upload at the next sync.
Data center energization
What is the difference between energization and commissioning?
Energization is applying voltage to equipment, for the first time or again after work. Commissioning is the wider process of testing and confirming that systems work as designed, often in levels from factory testing to integrated systems testing. Energization happens within the commissioning program.
What records should be kept after energization?
Who did each step and when, the readings taken, photos of device states, hold-point sign-offs, any deviations and who approved them, and the procedure version used. ICARUS Ops EES maintains the record as the crew works: every step’s time stamp, who did it, device states, and all photos and data retained, in the sequence they were collected and ready for handoff to the customer.
